Veterinary Receptionist (Full-time)

Hawthorne Lodge Veterinary Practice, a reputable and compassionate veterinary clinic in Banbury, Oxfordshire, is seeking a dedicated and customer-focused individual to join our team as a Veterinary Receptionist. Responsibilities include;

Customer Service: Greet clients with a warm and friendly demeanour, both in person and over the phone. Provide excellent customer service by addressing enquiries, scheduling appointments, assisting with pet care information and maintaining a clean reception area.

Appointment Management: Coordinate and manage the appointment schedule efficiently. Ensure accurate and timely communication with clients regarding appointment details, reminders and follow-ups.

Administrative Support: Perform general administrative duties such as record-keeping and data entry. Maintain and update client records in our system with accuracy. Assist with health care plans and insurance.

Collaboration: Work closely with veterinary surgeons, veterinary nurses, and other staff members to facilitate seamless operations within the practice. Communicate effectively to relay important information to the appropriate parties.

Client Education: Assist in providing basic information to clients regarding pet care, medication, and preventive health measures. Ensure clients have a positive and informative experience during their visits.

Payment Processing: Handle billing and payment transactions with precision. Work with clients to explain fees, process payments, and resolve any billing-related enquiries.

The successful candidate must be willing to take on responsibility for roles for which they have previous experience, and new roles for which they have received training, to support the business needs.


Previous experience in a customer service or administrative role, preferably in a veterinary or healthcare setting. Strong communication skills, both verbal and written. Exceptional interpersonal skills and a genuine passion for working with animals. Ability to multitask and stay organized in a busy environment. Proficient computer skills, ideally including experience with veterinary practice management software.

Hours of work:

This full-time role will involve working various shifts between the hours of 8am and 7pm, with some Saturdays 9-2pm. Flexibility to cover holidays and sickness will be required.
